The Guest Relations Volunteer

As a Guest Relations Volunteer with the Leavenworth Visitor Center (LVC), you provide a critical personal link between our community and our guests. This helps our guests make the most of their time in our unique town, and hopefully establishes the foundation of an ongoing relationship that will continue to yield benefits with return stays.  In addition, the Guest Relations Volunteer is to provide information and referrals to chamber member businesses and familiarize guests with activities in the area.

Job Description

  • Greet incoming visitors, incoming email requests, send out visitor information and answer phones.

  • Encourage our visitors to enjoy Leavenworth with activities, suggestions

  • Assist with lodging, activity, shopping, service chamber member referrals

  • Keep lobby and “the Hut” updated with current events, brochures and information.

  • Conduct merchandise sales in office

  • Put together requests from large groups coming to Leavenworth wanting Visitor Guides, Maps, etc.

  • Process Visitor Complaints – written sent or given to Director

  • Ticket Sales

  • Assist with special projects.

 Qualifications

·       Minimum twenty-one (21) years of age

·       A good basic knowledge of Leavenworth, Chelan County, and the State of Washington.

·       Willingness to proactively acquire additional knowledge necessary to perform this job well.

·       Ability to operate and explain hardware such as iPads, and on-line tools such as website, mobile app and guest data form.

·       Ability to listen to and understand questions, issues and situations.

·       Ability to draw, diagram, write or map simple directions.

·       Ability to orally communicate information, answers, and directions clearly and simply.

·       A positive and inclusive attitude, enthusiastic demeanor and ability to filter out negativity.

Guest Relations Volunteer Service Categories/ Requirements

The LVC relies on our Guest Relations Volunteer Program to run smoothly and efficiently. While we can accommodate illnesses, vacations, and unforeseen emergencies we do need for our volunteers to honor the commitment for which they have enrolled.

The categories below outline the time commitment needed at the Visitor Center in order to qualify for Guest Relations Volunteer Benefits.

Full Time

In order to be considered a Full-Time Guest Relations Volunteer you must commit to volunteer 4 consecutive hours on a specific day of the week for a minimum of 32 weeks per year.

Part-Time Weekly

Must commit to 4 consecutive hours once weekly for a minimum of 32 weeks a year. Days TBA

Part Time Bi-Weekly

Must commit to 4 consecutive hours, 2x per month for a minimum of 16 weeks. Days TBA

On Call

On-Call Volunteers regularly cover planned and unplanned absences throughout the year. On-Call Volunteers are especially needed during the busiest months of the year (April-October). Shifts covered are usually 4 hours per day.  On-Call volunteers will be notified on a regular basis via your preferred notification method (email or phone). It is requested that the On-Call Volunteer respond in a timely manner, indicating whether or not they are available. After declining to volunteer at the Visitor Center (4) consecutive times, an on-call Volunteer may be moved to inactive status. On-Call Volunteers will also be invited to attend Guest Relations Volunteer Meetings and Fam Tours. 

FAM Tours

In addition to the scheduled WC volunteer hours all volunteers must attend a minimum of 6 FAM Tours yearly. Fam Tours are a unique benefit to being a Leavenworth WC Guest Relations Volunteer as well as an essential way of familiarizing yourself with what’s new and exciting with our membership.

The purpose of a familiarization tour arranged by the LVC is to educate our volunteers about Leavenworth Chamber Members. Leavenworth Chamber Members offer tours so that you may become “familiar” with their product, property or experience so that you are able to relate this information to our guests.

A requirement of attending a FAM Tour is a desire to see a partner destination or offering that you are not personally familiar with or to experience something that has changed drastically since your last visit. It is expected that when attending a FAM Tour that it be approached as an educational opportunity.

Volunteer Meetings

Volunteer Meetings are usually scheduled in conjunction with FAM Tours. The meetings are crucial in keeping volunteers up to date on LVC events and happenings. Volunteer meetings are also a great way to connect with your fellow Visitor Center cohorts. Volunteers are expected to attend a minimum of 6 meetings yearly in order to maintain their benefits.
